Level of Compensation Information:
The starting salary range for this position is $58,500 to $60,000 commensurate with qualifications and experience. We also offer a generous and comprehensive range of benefits.


Reporting directly to the Senior Manager, Development Operations and Direct Marketing, the Donor Relations Assistant ensures that donations are processed in a timely and accurate manner and donors are stewarded as appropriate. The Donor Relations Assistant is integral in maintaining data integrity and providing fundraising reports so that front-line fundraisers have the information they need to move donors and prospects through the solicitation process. This position serves as the first point of contact for donor inquiries and plays a key role in acknowledging donor gifts. The ideal candidate for this position should be detail-oriented and have excellent organizational and interpersonal skills.


Responsibilities include, but not limited to:

Gift Entry & Data Processing

  • Process donations, ensuring proper fund coding, accurate gift documentation, and timely gift entry.
  • Perform accurate and standardized data entry to track constituent actions and update constituent records.
  • Enter new and updated constituent, gift, and grant award information into Raiser’s Edge.
  • Oversee the matching gift process, including donation confirmation, matching gift entry, and updating matching gift relationships in the donor database.
  • Maintain records in online CRM, event management system, and any additional online giving portals, working to have all systems align with Raiser’s Edge.

Donor Communications & Stewardship

  • Prepare acknowledgment letters, segmenting letters as needed for personalization and additional stewardship.
  • Work with manager to coordinate all departmental mailings, including donation acknowledgment letters, annual appeals, and other stewardship mailings.
  • Prepare memorial and honorarium gift acknowledgments.
  • Assist with stewardship and cultivation initiatives, such as birthday cards, personal notes, and seasonal outreach.
  • Monitor department voicemail and external-facing email boxes and respond to donor inquiries.
  • Assist with donor and prospect research.
  • Assist with special events.

Revenue Reporting & Tracking

  • Coordinate monthly, quarterly, and annual revenue reconciliation with Finance Team.
  • Prepare regular gift reports, data import files, queries and assist with analyzing fundraising results.
  • Perform regular data clean-up activities.
  • Review donation and data entry procedures to continually improve processes and procedures.

  • Six months or more of demonstrated experience performing related duties in a nonprofit/philanthropy setting, with a proven track record of excellence in organization, time management, and attention to detail.
  • Superior written and verbal communication skills and a good eye for detail.
  • Professional computer skills, proficiency in Microsoft Office Suite and Raiser’s Edge or similar donor management system.
