The starting salary range for this position is $58,500 to $60,000 commensurate with qualifications and experience. We also offer a generous and comprehensive range of benefits.


POSITION OVERVIEW

Reporting directly to the Senior Manager, Development Operations and Direct Marketing, the Advancement Assistant plays a key role in maintaining the day-to-day operations of the department. The Advancement Assistant works closely with all members of the Advancement team to support department goals. The ideal candidate for this position should possess excellent organizational skills, good people skills, and exceptional communication skills.

SPECIFIC RESPONSIBILITIES/DUTIES

Responsibilities include, but not limited to:

Team Administrative Support

  • Manage the Chief Advancement Officer’s calendar, travel schedule, and project deadlines.
  • Coordinate team schedules and travel details for internal and external meetings and activities.
  • Assist with all departmental mailings, including donation acknowledgment letters, annual appeals, and other stewardship mailings.
  • Basic office support tasks, including making copies, filing, and maintaining general office organization.
  • Order, track, and organize office supplies, stationary, and promotional items.
  • Coordinate mail services including the storage and distribution of packages, sorting all incoming mail and faxes, post all outgoing mail.
  • Assist the team members with administrative requests as needed.
  • Assist with gift processing and donor communications during high volume work periods.

Vendor Relations & Expense Tracking

  • Process reimbursement requests bi-monthly and reconcile credit card purchases monthly.
  • Work with team members and finance to coordinate contracts and vendor payments.
  • Work with Chief Advancement Officer to prepare annual budget and track department expenses.
  • Communicate with vendors about payment process.

Special Events & Meeting Coordination

  • Schedule meetings and assist with any meeting preparation and follow-up, including circulating agendas, taking and disseminating meeting notes, and assisting with any follow-up items.
  • Assist with special events, including coordinating event timelines and deliverables, tracking RSVPs, coordinating seating, liaising with vendors, tracking sponsor benefits, etc.
  • Provide webinar technical support and set-up, including working with IT on back-end set-up, program run-throughs and answering panelist questions. Work with communications firm to get digital copy ready for public viewing post-event.

  • Must be able to identify and resolve problems in a timely manner.
  • Keen attention to detail.
  • Interest in fundraising.

Requirements

  • Six months or more of demonstrated experience performing related duties in a nonprofit/philanthropy setting, with a proven track record of excellence in organization, time management, and attention to detail.
  • Superior written and verbal communication skills and a good eye for detail.
  • Professional computer skills, proficiency in Microsoft Office Suite, Zoom, and Raiser’s Edge or similar donor management system.
